About the Winchester Baylis Business Breakout Room

Every business holds Intellectual Assets (IA) whether they appreciate it or not.  The IAs consist of the ‘Intellectual Property’ and ‘know-how’ held by a firm.

‘Intellectual Property Rights’ (IPR) are the legal rights given to a business to enable it to block or control the use of their IAs.  However, many small firms or budding entrepreneurs often jeopardise their IP through unwitting disclosure e.g. in semi-public conversations, or through disclosure to advisors or backers during business negotiations.
It is possible to protect IP through a non-disclosure agreement (NDA), but who knows what was said in any discussion.

The Baylis Business Breakout Room enables inventors/entrepreneurs to protect their IAs during discussions with business advisors, enabling their conversations to be recorded (video and audio) and NDAs signed and witnessed by camera.  It is available for the staff and students of the University as well as members of a series of sponsoring bodies including the Federation of Small Business, the North Hampshire Chamber of Commerce and Industry, Business Link, Winchester City Council and Business in the Community.

When is the room open?

The room is free to use during weekdays during normal office hours (09:00-17:00, but an administrative charge of £30 is levied for late cancellations (within 24 hours) or no-shows.

What’s in the room?

The room contains a security camera and digital recording equipment.  The key and a blank DVD can be collected from the Business School receptionist.  The Business School does not retain any copies of any recordings.  The safekeeping of the recorded DVD is the responsibility of the person booking the room.  The room is furnished with a meeting table and eight chairs.  There is a whiteboard that is visible from the security camera so diagrams and figures can be captured during recorded discussions.  The room also contains blank Non Disclosure Agreements and a range of useful leaflets and other resources, such as a small IP library, for use during the booked session.  The windows and glass door are furnished with full blinds so that privacy is assured.  However, the room is not fully soundproofed and users should be aware of this fact.

Can I park?

By completing the booking form you can request a car parking space.  Up to three spaces are available including a disabled parking bay.  The room is located on the ground floor and there are no steps to impede access.

How can I book the room?

When you complete the booking form you will be sent a confirmation.  Please indicate on the booking form an alternative time in case the room has already been booked.  The location of the room and a map can be downloaded from the website along with the Terms and Conditions of usage.

Can I use the Baylis Breakout Room for any meeting?

The room is reserved for discussions between potential or actual entrepreneurs, inventors, innovators and their business advisors or possible supporters.  The purpose of the room is to facilitate discussions while protected intellectual property.
